Repair or Replace Your Commercial Air Conditioning? A Guide for Building Owners

Assess commercial air-conditioning repairs against replacement using equipment condition, building needs, downtime and the complete installed cost.

Make the decision around the building

Repair can be the right investment when a defined fault is affecting an otherwise suitable system. Replacement becomes more attractive when substantial repairs coincide with declining condition, difficult parts supply or a building whose needs have changed. A fixed age or repair-cost percentage cannot make that decision for every commercial site.

The starting point is an assessment of both the equipment and the space it serves. A system can be repairable yet still unsuitable for a busy office, an expanded tenancy or longer operating hours.

Ask what the repair will achieve

A useful repair proposal explains the fault, the work required and what remains unresolved. If a repair restores operation but does not address poor distribution or inadequate capacity, include that distinction in your decision.

Review the recent history as well. Several unrelated minor repairs tell a different story from repeated attendance for the same unresolved issue. Ask about the condition of the remaining major components and the availability of the parts needed now.

Check whether the building has changed

Partitions, additional staff, new equipment and changes to opening hours can alter cooling demand and air distribution. Before replacing a unit with the same nominal capacity, check whether the original arrangement still suits the premises.

Some comfort complaints may be addressed through servicing, controls or distribution work. Other sites need a different system arrangement. Shelair can investigate the cause and discuss options before you commit to replacement equipment.

    Compare complete costs and disruption

A replacement budget should cover the installed scope, including removal, access, electrical and controls work, any duct alterations and commissioning. Establish which existing components can be retained and which need assessment before reuse.

Include the practical cost of interruption. Consider tenant access, trading hours, rooftop access and whether work can be staged. If energy savings are part of the proposal, ask what operating hours and equipment assumptions support the estimate rather than relying on a general percentage.

Build a plan instead of waiting for the next breakdown

Where replacement is likely but not immediately necessary, use the assessment to set a budget and delivery window. Where repair is the better option, retain the findings so future expenditure can be compared with a clear baseline.
