Planning commercial air conditioning replacement while your business stays open

Replacing commercial air conditioning while trading? Plan the scope, shutdown windows, access and handover before committing to an installation quote.

Replacing air conditioning in an occupied office, shop, school or hospitality venue involves more than choosing new equipment. The work has to fit the way the premises operates, including the areas that must remain available and the times when cooling can be interrupted.

A useful installation brief gives every contractor the same operational picture. It also helps you compare what is included in each quotation before equipment is ordered or a shutdown date is announced.

    Define what must keep operating

Identify the rooms, trading periods and activities most affected by a loss of cooling. Explain whether the whole premises can close, whether work can be staged by area, and whether any equipment or stored products have separate environmental requirements.

Record the current problems as well as the existing equipment. Uneven temperatures, changing occupancy, a new fit-out or extended opening hours are reasons to review the requirement. Ask the contractor to explain the proposed selection against the current use of the building.

Agree on a workable shutdown window

Ask which parts of the job can happen before the existing system is disconnected and which require an interruption. Confirm access hours, noisy-work restrictions, deliveries and the time available for testing before staff or customers return.

Discuss a contingency if the agreed work cannot be completed in the first window. That may involve a revised sequence or a separately scoped temporary arrangement. Do not assume that after-hours attendance or temporary cooling is included in every installation price.

    Compare the complete installation scope

Check the quotation for equipment, removal of the old system, refrigerant pipework, drainage, ductwork, controls and electrical work. Ask what is being retained and how its suitability will be assessed.

Identify access equipment, ceiling or roof work, making good and disposal arrangements. Confirm who coordinates landlord or building-manager requirements. A lower headline price is difficult to evaluate when these responsibilities are left unspecified.

Separate the purchase and installation budget from ongoing electricity and maintenance costs. Request the assumptions behind any running-cost estimate rather than treating it as a prediction of your next bill.

    Set the handover requirements

Agree on the operating checks, records and user instructions to be supplied. Ask for equipment identification, warranty terms, controller guidance and an explanation of any outstanding work.

Confirm who will set operating schedules and who can change them. Give the team a named contact for reporting problems after the installation, with enough detail to identify the affected area and equipment.
