Signing a Commercial Lease? Check the Air Conditioning Before You Move In

Check commercial HVAC condition, capacity, operating arrangements and fit-out implications before committing to new business premises.

Check that the premises suit the business you plan to run

Before committing to commercial premises, find out whether the air conditioning is in serviceable condition and suitable for your proposed use. An empty tenancy that feels comfortable during an inspection may operate very differently once staff, customers and equipment move in.

A pre-lease HVAC assessment helps identify equipment concerns and fit-out implications while there is still time to discuss them. It gives you a clearer starting budget for occupation, servicing and potential improvements.

Identify the system and who controls it

Establish which equipment serves the tenancy and whether it is dedicated to your space or shared with the building. Ask about operating hours, after-hours access, available controls and any restrictions on adjustments.

Request service records, recent defect reports and details of unresolved complaints. Confirm the practical arrangements with the owner or property manager: who books servicing, who receives reports and who authorises work. These responsibilities should be clear before your team moves in.

Assess condition before accepting the fit-out

Ask the HVAC contractor to review accessible equipment and report its condition, observed faults and any further investigation required. Include the indoor units, outdoor plant, controls and distribution components relevant to the tenancy.

Make sure the report distinguishes what has been inspected from what could not be accessed or tested. Equipment hidden above ceilings or serving several tenancies may need coordinated access. A useful assessment records those gaps so they can be resolved before they become an opening-day surprise.

Provide your proposed layout and operating hours

Show the contractor the planned workstations, meeting rooms, customer areas and equipment locations. Explain expected occupancy and hours. A new partition can create a room with different airflow and control needs, even when the total floor area is unchanged.

Discuss ceiling changes, outlet positions and servicing access before the fit-out is finalised. HVAC changes are easier to coordinate while drawings and trade scopes are being prepared than after walls and finishes are complete.

Turn the inspection into an occupation plan

Use the findings to identify work required before occupation, adjustments associated with your fit-out and the maintenance needed after opening. Ask for separate costs where the existing system needs repairs and your proposed use requires additional work.
